AlkaSpeakUp gives an opportunity to anyone, company employee or not, to report misconduct, potential breaches of the Code of Ethical and Professional Conduct, Alkaloid’s policies and procedures, and suspicions of non-compliance with legal provisions.

How can I notify of irregularities and breaches of the Code before reporting them?

If you are part of Alkaloid, consider talking to your line manager, second-line management, where applicable, or the local Corporate Compliance Officer, or company’s Corporate Compliance Officer.

What is the role of the company’s Corporate Compliance Officer?

The Alkaloid Corporate Compliance Officer is fully committed to ensuring that our people understand and observe the ethical principles set out in our Code. The Corporate Compliance Officer is the contact person for all employees, company shareholders, business partners, and clients on matters and actions related to our Code and the person who directly receives the reports on breaches of the Code.

How does the AlkaSpeakUp webform work?

The AlkaSpeakUp webform allows you to electronically report irregularities (unethical conduct - breach of the Code of Ethical and Professional conduct and unlawful conduct - breach of corporate compliance), anonymously or transparently. Your report goes directly and solely to the Corporate Compliance Officer. If the report is substantiated, the Corporate Compliance Officer, together with the Corporate Compliance Committee, shall start an investigation and the Committee will decide on it. Via the AlkaSpeakUp webform, you can contact the officer about your report at any time.

When should I use the AlkaSpeakUp webform or any of the other reporting channels?

These communication channels and the AlkaSpeakUp webform are used to report suspicions of unethical and unlawful activities by Alkaloid employees and executives. Please note that the AlkaSpeakUp webform should not be used to report ongoing employee problems, such as complaints about salaries, working hours, evaluations of the performance of regular work tasks, gossip, etc. Please also note that it is not allowed to knowingly report false information about an Alkaloid employee or executive to harm the person. Such conduct will be treated under the local whistleblower protection regulations and the company’s internal acts.

I have information about unethical conduct. Why should I report it?

Expressing and sharing concerns about potential breaches of the Code and unethical conduct is the right thing to do for every responsible employee. That is how you build trust in our company and protect yourself, your colleagues, and Alkaloid’s rights and interests. All employees should know that it is their responsibility to report any conduct contrary to Alkaloid’s key values. This is how we ensure they are fully complied with.

What if I only suspect the ethicality and legality of some activity but have no proof of it?

If you suspect some activity, even though you may not have all the related data or have no solid proof, we encourage you to report it in good faith. The Corporate Compliance Committee will investigate all justified reports and collect the necessary evidence if any. Your report may reduce the possible negative impact on Alkaloid. When you report in good faith, of course, we will support you.

What if my superiors and other managers are involved in the unethical and unlawful activities I want to report?
I am worried they will see the details I share via the AlkaSpeakUp webform.

The Incident details you report via the AlkaSpeakUp webform are available only to the Corporate Compliance Officer and the Corporate Compliance Committee appointed by the Management Board. The Corporate Compliance Officer and Committee must ensure and protect the confidentiality of the data you share on the webform. Data confidentiality is one of our priorities, and we assure you that it will not reach the implicated persons. Of course, you can always report anonymously without revealing your identity.

What should I do if the person I want to report for non-compliance is a member of the Corporate Compliance Committee?

If your report is closely related to and involves a Corporate Compliance Committee member, under our procedures, they shall be immediately excluded from the Committee reviewing and deciding on that report.

Do I have to identify myself when reporting unethical and unlawful conduct?

No. You do not have to reveal your identity when you report via the AlkaSpeakUp webform. No one will know you are the one reporting unless you voluntarily identify yourself when filling the form online. The information you provide will be treated as strictly confidential and privileged as permitted by law. However, if you decide to reveal your identity, it can help conduct a more thorough and transparent investigation. The decision to reveal your identity is up to you.

What if I remember something important about the incident after I submit the report?

When you report, you will receive a unique report identification number - confirmation key. You must save/remember your confirmation key so that you can access the AlkaSpeakUp webform again and update your report.

What if the Corporate Compliance Officer and the Corporate Compliance Committee conducting the investigation have additional questions about my report?

If you choose the transparent reporting option, they will contact you through the contacts listed at registration. If you choose to report anonymously, you will be able to contact them through the check report status box. To log in, you will have to enter the confirmation key generated when submitting the report, which you have to remember.

How will I know if my report has resulted in an investigation and what its status is?

By accessing the check report status box, you can get information on the progress of the investigation and ask additional questions. To log in, you will have to enter the confirmation key generated when submitting the report, which you have to remember. Alkaloid is committed to promptly investigate all reports of unethical and unlawful conduct. When a report is filed, the response and the manner of investigation will depend on the nature and severity of the alleged irregularity. We assure you that all serious allegations of unethical and unlawful conduct will be properly investigated. However, as we need to maintain the anonymity and confidentiality of all stakeholders, you may not notice that the investigation is underway.

What if I want to identify myself when reporting?

When filing the report, select the transparent reporting option and you will be asked for your name and contact information (e-mail). Provide as much detail as possible when filing the report. We encourage you to identify yourself, become involved in the process, and support Alkaloid to investigate your report. Your personal data will be treated in compliance with the personal data protection regulations. Alkaloid ensures the protection of your transparent reporting, and you will suffer no harmful consequences on your employment rights and obligations because of it.
